The Process

Requirements and Product Specifications

Following your request for a quote on a product, K&K UK Ltd will contact you to confirm specific requirements, prior to selecting a manufacturer / supplier. We would require the following details in order to obtain accurate quotations and time scales:

  • Full product details/specifications are required for each product, particularly where options apply.
  • Details of the required product such as samples, drawings, graphic images or website links can all be helpful in clarifying your requirements.
  • K&K UK Ltd will provide the shipping and delivery costs to you which are included in the comprehensive quotation so order quantities per item are important in calculating accurate prices.

  • If known at this stage, give details of packing required; as K&K UK Ltd can arrange a complete package including retail packing with all artwork; ready to place on the shelf.
  • Any branding requirements can be confirmed with supporting artwork and preferred presentation packing.
  • Time scales are affected by many parts of the source and supply process. If you have a specific date deadline, let us know so that we can fit this in with production schedules.
  • Minimum Order Quantities apply in most cases in order to make your order cost effective. Quantities have an effect on both production and freight costs.

 

Selecting the Manufacturer / Supplier

  • Once all your requirements are agreed and understood, qualified suppliers are identified and details sent to those who may be able to assist us. The potential manufacturers are checked out personally by our agents operating in that particular area, in order to confirm their business.
  • K&K UK Ltd only uses ISO 9000 accredited companies. Specific requirements will be confirmed before any manufacturer is approached to ensure that they have the appropriate documentations such as; business registration document, quality control certificate, land use right certificate, tax registration certificate and that the Safety Standards are met. We would NEVER do business with suppliers that do not pass our approval selection process.
  • From the resulting checks and responses, a maximum of three companies are invited to quote for the required work.

Apples

  • A qualified representative from K&K UK Ltd will visit each of these factories before any order is placed with the most suitable one. At this visit, a meeting is held with the factory management, business owner and the Quality Control manager. This is to confirm the required product details and all final details.  This process is backed up by our agent responsible for sourcing operations in that area and detailed reports/meeting minutes are logged and signed by all parties present at the meeting.
  • Controlling Production Quality is achieved through scheduled inspections of all factory processes with final quality inspection and packing checks completed under the direction of K&K UK Ltd, before products leave the factory. Personal visits to the factories can be organised for you and we are happy to make arrangements for such visits including accommodation, car hire, sight-seeing and an interpreter service.
  • Quotations are comprehensive i.e. DDP (Delivered Duty Paid), including factory cost, our fees based on factory cost only, branding, artwork and presentation of your product. It is inclusive of transportation from “Factory to You” i.e. Duty, Freight; any Surcharges; Terminal/Port Handling; Duty and haulage to your chosen destination. International orders are normally CIF (Cost, Insurance and Freight) to destination port and we are happy to arrange on an FOB (Freight On Board) basis where requested.
  • Included in formal quotations are time scales with estimated shipping, arrival at destination port and time of delivery. The client will be informed of their goods progress at each step of the process.

 

Client Approval

  • When all supplier checks are completed and a preferred supplier quote received, this is submitted to you including any options relating to your potential order. Where options include different solutions, these will be discussed with you in detail to assist you in making the correct decision for your particular requirements. Any points raised are followed up with the manufacturer until an agreed way forward is accepted by all parties.
  • The sample/s of the required product is then agreed. Where the/se sample/s are specially made, then costs e.g. mould costs, may apply to cover the manufacturer with their essential costs to produce the item required. However often “factory samples” which are available as required or “similar” to your own product are available for you to check quality and make any tests.

  • Where options are available and still being considered, then samples of each option would be arranged. A second set of “production” samples, based on your exact requirements as detailed on the sales order, would be sent for your approval and provided free of charge, before shipment.
  • Where the manufacturing process involves critical production phases with the product and where sensible to do so, further samples will be provided for your approval before the factory continues with the production. This process is checked by our agents operating in that particular area and where relevant, further samples will be sent to you for approval.

 

Contract Agreement

  • Only after you approve the sample/s, is an order placed with the manufacturer. The manufacturing process will then commence once the necessary paperwork, final details of the product is agreed and the deposit is paid to the manufacturer by K&K UK Ltd.
  • Signing the agreement with the client: The agreement is drawn up by the legal team and signed by K&K UK LTD and the client. In the legal agreement, the quality of the product, the amount of per unit, total quantity, the amount of payment and how the payment will be made, the delivery date of the goods, any default products etc. will be written in the contract.

  • The manufacturer would normally require an initial deposit payment of 30% to 50%. K&K UK LTD would then send the pro-forma invoice to the client for this payment to be made via Letter of Credit (L/C).
  • Once the production process is completed and the goods are ready for shipping, final inspections are made to ensure the correct shipping marks have been placed prior to loading. Thereafter K&K UK LTD will send the copy of the bill of lading (B/L or BOL) to the client.
  • The client would be required to make the final payment (remaining balance) to K&K UK Ltd. In return we will pay the manufacturer which the goods then leave the factory.
  • Copies of all relevant paperwork would then be submitted to the client for keeping.

 

Logistics – Freight – Delivery

  • With appropriate packaging agreed between all parties to ensure protection of goods in transit, the details are submitted to the shipping agents selected by K&K UK Ltd.
  • The shipping agents are responsible for ensuring the safe arrival at the destination port and where applicable, to ensure that the goods are safely off-loaded from the vessel. Full and part container loads are handled by K&K UK Ltd and the facilities available from the shipping agents are important with the particular service dependant on the load.

Logistics – Freight – Delivery

  • Efficient transfer and declaration of the necessary shipping documents all play a part in efficient clearance on arrival and subsequently delivery to you without un-necessary delays. K&K UK Ltd have an excellent working relationship with many shipping agents and ensure minimum delays with clearance and delivery.
  • Once customs clearance is completed, all paperwork and records of payments handled by K&K UK Ltd and delivery details are sent to the client.
  • Depending on the agreement between you and K&K UK Ltd, we would deliver your product safely to your door on time.
